Emails and the demo site
Two things on the Sites page help you check how the installation looks to other people: the email panels, and the Demo site.
Where: Admin › Sites
Under the sites list, Mail Configuration shows how outgoing email is set up: host, port, sender address, whether the connection is secure, and whether a login is configured. These come from the way the app is installed, so they can't be edited here.
Status shows Connected when the app can reach the mail server and Not connected when it can't. When it's connected, Send Test Email sends a short message to your own address, and you see a message saying where it went or what failed.
If people say they aren't getting invitations, alerts or reports, start here.
Email templates
Email Templates lists every email the app sends, with a short description:
| Template | When it's sent |
|---|---|
| Site Invite | A person is invited to a site |
| Welcome | A new account is created |
| Password Changed | A person changes their password |
| Visit Invite | Someone is invited to add products to a visit (invite links) |
| Global Invite | An admin invites a new person to the platform |
| Recall Digest | Weekly, to people who opted in to the recall summary (recalls) |
| Scan Issue Report | A scanning problem is reported. Goes to global admins |
| Stock Alert | Right away, to people who chose email for stock, expiry or recall alerts |
Click Preview to see one with sample content and its subject line. The preview is only a picture of the email. Nothing is sent. Use Back to admin to return.
See Alerts and notifications for who gets the alert emails and why.
The demo site
A site with the short web address "demo" (its pages start with /demo) is treated as the Demo site. Every page of it shows a strip saying the data is reset periodically and not to enter real information. It's meant for training and trying things out.
The Demo Site panel shows the site, linked, and how many products it has. If no site has that slug, the panel tells you to create one first in the sites list above.
What it contains
A fresh Demo site has sample data for an interventional radiology department, with dates set relative to today:
- a product catalog, with barcodes
- stock on the shelf, with lot numbers and expiry dates. Some products are out of stock, some are low, and some items are expired or close to expiring
- a few items already removed for expiry
- storage locations
- staff of each type: physicians, nurses and techs
- about 64 cases over the last four months, with the items used
- several past vendor visits, plus one upcoming visit with requests and pending deliveries
Scanning, visits and locations are turned on for the site.
Resetting it
Clear & Re-seed Demo Site asks you to confirm, then wipes and rebuilds the site's data in one step. If anything goes wrong, the old data stays as it was.
What it deletes: all of the site's products, stock, cases, case types, visits, staff and people, storage locations and inventory audits.
What it keeps: the site itself and its members and roles. Other settings are left alone, apart from the three switches above, which are turned on.
When it finishes, the panel reports what it loaded, such as the number of products, how many are out or low, items on shelf, cases and visits.
