Products
The product list is your catalog: every product the site stocks, with its type, size, vendor and low-stock threshold. Stock is counted against these products. The list here is for managing them. To look at stock, use Inventory.
Who can: Owner, Admin, Member, Inventory manager
Where: Settings › Products
The list
Each row shows Name, Type, Dimensions, Vendor, Low Stock and Status. Dimensions and vendor are hidden on small screens. Search matches name, type, vendor, brand, catalog number and barcode. Products are listed by type, then name, 20 to a page by default.
A product that was imported without a name or category shows a Needs details tag until someone completes it.
Add a product
- Choose Add Product.
- Fill in Name and the type or category (both required). Add the Low Stock Threshold, size, Vendor, brand and Catalog Number if you have them.
- Optionally, enter an Initial Stock expiry date and count for each batch. Use + Add another expiry date for more batches.
- Choose Add Product.
Products can share a name when the vendor, size or catalog number (REF) differs. One that matches an existing product on all of these is refused. Typing a catalog number can offer a Health Canada match, which fills in details when you accept it. When locations are on, you can also choose a Default location.
Edit, deactivate and reactivate
- Edit opens the product's fields: name, category, Low stock at, size, maker, search keywords, and the purchasing fields (SAP number, global order number, price, max stock, unit of measure, notes), plus Unit cost (per unit, in dollars), Consignment (vendor-owned stock) and Wire size (the guidewire diameter, or the wire the device takes, in inches or mm). See Product sizes.
- Deactivate switches a product off without deleting it, and Activate switches it back on. Products are never deleted.
Setting Low stock at to 0 turns off low and out-of-stock alerts for that product.
Merge duplicates
Tick two or more products and choose Merge N Products. Pick the one to Keep as target product. For each other product you can untick Include in merge.
All stock from the other products moves to the target, their images move across too, and the other products are deactivated.
Product images
Who can: Owner, Admin turn images on or off. Anyone who manages products can then upload.
At the top of the page, owners and admins see Product images.
- Enable product images. Off by default. Lets people who can edit products upload photos. They show on the product page.
- Show thumbnails in inventory list. On by default, but only usable once images are on. Shows each product's first image beside its name.
To add photos, open the product, choose Edit, and use Add images under Images (saved immediately). Each product holds up to 10 images. JPEG, PNG or WebP, up to 10 MB each. Photos are resized, and location data in the photo is removed. You can reorder images with the arrows and delete them. The first image is the one shown in the list.
Turning images off hides them and stops uploads. The photos aren't deleted. A merge can leave the target with more than 10 images.
