Stats
The Stats page is a one-screen picture of your site: what is on the shelf, what is about to expire, how many cases you have done, and which products you use most. Use it to spot problems early and to answer "how are we doing?" without exporting anything.
Who can: Owner, Admin, Member, Viewer, Inventory manager, Stats viewer, Visit manager, Clinician, Auditor, Purchaser, Compliance, Site settings Stats viewer is a role that sees nothing else.
Where: Stats
The page is titled Statistics. On a phone, open it from the More sheet.
There are no date pickers or filters. Every figure covers the whole site, and each chart has its own fixed window, shown in its title. The one control is on the personnel chart, described below. A chart or list only appears once it has something to show, so a new site starts out with just the figure cards.
The figure cards
| Card | What it counts |

| In Stock | Units on the shelf that are not used, removed, still pending, or past their expiry. Units with no expiry yet (imported stock) count as in stock. |
| Expiring Soon | In-stock units that expire in the next 30 days. When some expire within a week, a line underneath says how many, and the card turns amber. |
| Expired | Units still on the shelf whose expiry date has passed. The card turns red when it is above zero. |
| Used in Cases | Every unit ever marked as used. |
| Total Cases | Every case recorded at the site. |
| Visits Completed and Visits Pending | Visits that have been delivered, and visits still waiting. These two only appear when your site has visits turned on. |
| Active Products | Products that are switched on, with the total number of products underneath. |
The charts
- Cases Over Time (12 months): cases per month, by the month each case was created.
- Inventory Added (12 months): units added to stock per month.
- Consumption by Source (12 months): units used per month, split into Hospital and Patient (stock the patient brought). Hover or tap a bar to see both counts.
- Cases by Procedure Type: your ten most common procedures, with their category.
- Most Used Products (in cases): the ten products with the most units used on cases, over all time.
- Personnel by Case Count (6 months): a weekly line for each of the ten people on the most cases. Use the tabs above it to show everyone or one kind of person.
- Visits (12 months): visits per month. Only shown when visits are on.
The lists
- Low Stock Products: up to ten active products with some stock left but at or under their low-stock amount, lowest first. Each row shows the units in stock out of the product's threshold.
- Out of Stock: up to ten active products with no units in stock, in name order. Products with a low-stock amount of 0 show here too, but never raise an alert.
- Expired Stock: up to ten products with expired units still on the shelf. Each row shows how many units, and the oldest expiry date. Oldest first.
Each product's low-stock amount is set on the product itself, under Low Stock Threshold (see Products).
Inventory Breakdown
A row of totals at the bottom: Total Items (every unit ever recorded), In Stock, Pending (Visits) (units from visits that are not yet delivered), Used and Removed. The pending box is hidden when your site has no visits and nothing is pending.
Quarterly Report
The Quarterly Report button at the top opens a short menu of the last four finished quarters, each with ZIP, CSV and XLSX links. Anyone who can see Stats can download. See Quarterly reports.
