Scanning
The scanner turns your phone or computer camera into a barcode reader. Point it at a package to add stock, mark an item as used, or use it on a case. The camera reads the code on your device. No pictures are uploaded.
Who can: Owner, Admin, Member, Inventory manager Case mode needs a role that manages cases. Scanning has to be turned on for the site first.
Turn scanning on
Scanning is off until someone with site settings access enables it. See Scanning settings.
Where: Settings › Scanning
Tick Enable scanning for this site. The same page holds the other scanning choices: how scans are saved, repeat scans, boxes and label reading. Until scanning is on, the Scan button and the scanner page don't appear.
Open the scanner
- On a phone, tap Scan in the bottom bar. On a larger screen it is the Scan button at the top.
- On the Inventory page, Add item opens the stock-in scanner.
- On a case, Scan to consume opens the scanner for that case.
- On a phone, More has Scan stock out.
- For an audit, the scanner opens inside the audit's own counting screen.
The pill at the top of the camera shows the current mode. Tap it to switch between the modes you can use.
The modes
| Mode | What it does | Who can use it |
|---|---|---|
| Stock in | Adds items to inventory. How the scan is saved depends on the site's setting. See How scans are saved. | Roles that manage inventory |
| Stock out | Marks an item as used. It uses the scanned serial, else the scanned lot, else the item that expires first. | Roles that manage inventory |
| Case | Marks an item as used on one specific case. Open it from the case. | Roles that manage cases |
| Visit | Opened from a visit (Pre-load by scan). It can't record scans yet. The scanner says "Pre-loading by scan isn't available yet". | Roles that manage inventory |
| Audit | Counts stock for an audit. Nothing in stock changes while you count. A manager reviews the count afterwards. | Roles that can conduct audits |
Case and Visit need a case or visit to attach to, so they only show when you open the scanner from one. Visits also have to be turned on for the site.
How it works
Overview
Point the camera at a barcode to record stock movement. Decoding happens on this device, no images are uploaded. If the camera can't read a code, tap Type code and type it instead.
Each scan shows a result message at the top of the screen. The frame around the camera also changes colour: white while scanning, green when a scan is saved, yellow when a code isn't linked to a product yet, and red on an error.
