Storage locations
Storage locations record where stock is kept: a store room, a cabinet, a cart. A location is a named place you set up once. A bin is a free-text note for the shelf, bin or drawer inside it, such as "Shelf 3". With locations on, every unit of stock can carry both, so you can find it and count it by place.
Who can: Owner, Admin, Site settings turn locations on and manage the list.
Turn locations on
Where: Settings › Stock visibility
Tick Storage locations. Turning it off hides locations everywhere but keeps the data, so you can turn it back on later. A Locations page then appears under Settings (in the Site group). The tick box lives on the Stock visibility page.
Set up your locations
Where: Settings › Locations
Type a name (for example "Store Room A") and choose + Add. Names must be unique and up to 64 characters. Each location shows how many items are recorded there. For each one you can:
- Rename it.
- Reorder it with the up and down arrows. The order is the one used in pickers.
- Deactivate it. An inactive location can't be chosen for new stock, and shows as "(inactive)" wherever it still appears. If items are still recorded there, you'll see a reminder to move them first.
- Reactivate it.
- Delete it. This is only offered for a location that has never held stock and isn't any product's default. Otherwise, deactivate it.
Bins have no setup. They are typed in as you add or move stock, up to 64 characters.
Give a product a default location
Who can: Owner, Admin, Member, Inventory manager
Open a product, choose Edit, and fill in Default location (and a bin if you like). Stock added without a place picked goes there. If the default location is later deactivated, new stock is left unassigned rather than put there.
Put stock away
Who can: Owner, Admin, Member, Inventory manager
- Adding by hand: the Add stock dialog shows Location and a bin box, filled in with the product's default. Change them for this batch if the stock is going elsewhere.
- Scanning in: in stock-in mode (Scanning) a Putting away to control lets you choose a location and bin once, and it applies to every item scanned from then on. Leave it as Product default to use each product's own default. The choice is remembered on that device. If the location is deactivated, it is cleared.
- Moving stock later: on a wide screen, tick units on the product page and choose Move selected. On a phone or tablet, open Edit lot and choose Move. You can move any unit that is still on the shelf, including expired ones.
Where locations show
With locations on, the Inventory list gets a Location filter, and counts follow it. A product page shows how many units are in each location, and each lot shows its place. Stock with no place shows as Unassigned.
