Stock visibility

Over time a catalog collects products nobody uses any more. Stock visibility hides those products from the inventory list and the case product picker, so the lists stay short. Nothing is deleted.

Auto-hide stale products

Auto-hide stale products has five choices: Disabled, 3 months, 6 months, 9 months and 12 months. New sites start on Disabled, so nothing is hidden. The choice saves as soon as you pick it.

What counts as stale

A product is hidden when both of these are true:

  1. It has no stock on the shelf. Used, removed and still-pending units don't count. Expired units that are still on the shelf do count, so a product with expired stock isn't hidden.
  2. Nothing has happened to it for the chosen period. The last activity is the most recent change to the product itself or to any of its stock records. Adding stock, using or removing stock, undoing either, and editing the product all count.

The period is counted back from today in whole months.

What hidden means

  • The product is left out of the Inventory list. Turn on Include hidden (a filter chip, or Include hidden products in the filter sheet on a phone) to see it. Hidden products carry a Hidden tag.
  • The product is left out of the product picker when creating a case.
  • Its low-stock and out-of-stock alerts stop.
  • Its product page still opens. It says "Hidden (no activity in N months)".

How to unhide

Nothing needs unhiding by hand. Any new activity brings the product back: add stock (by hand or by scanning) or edit the product. A product with stock on the shelf is never hidden. To stop hiding altogether, set the option back to Disabled. That shows every product again straight away.

Storage locations

The same page holds the Storage locations tick box, which turns locations on or off for the site. It is off by default. Turning it off hides locations but keeps the data. See Storage locations for how they work.
