Repeat scans, serials and boxes
Three things change what one scan counts for: scanning the same code again, a code with a serial number, and a code on a box that holds several items.
Who can: Owner, Admin, Member, Inventory manager Changing the settings below needs a role that manages site settings.
Repeat scans
A scan is a repeat when its code, lot and expiry match an earlier scan on the same scan screen. Switching mode starts fresh. An admin chooses what happens.
Where: Settings › Scanning › Repeat scans
See also Scanning settings.
Same code again
Scanning a code with the same lot and expiry as an earlier scan on this screen. What happens is set by an admin under Settings → Scanning:
- Warn (default) — it counts, and a "Same as earlier scan" note shows how many so far, with Undo.
- Ask first — nothing counts until you tap Add another (or Use another). Ignore drops it.
- Off — every scan counts, no note.
This applies to Stock in, Stock out, Case and Visit. Audit counting never blocks a repeat: every scan counts as one unit.
Holding a code in view
Holding a code in view
A code held in view scans once, however long it stays there. To scan the same code again, move it out of the frame for about 1.5 seconds, then bring it back. Codes seen while a sheet covers the camera don't count.
That is separate from repeat scans. It stops one code held in front of the camera from reading many times. Repeat scans are about scanning on purpose again.
Serial numbers
Serial numbers
When a barcode has a serial (SN), each item is one of a kind:
- Adding a serial that's already in stock is refused: "Already in stock", with when and by whom it was added.
- The same serial twice in one cart is flagged instead of added.
Repeat-scan settings don't apply to serial numbers: a serial is never counted twice.
For stock out and Case, scanning a serial uses exactly that item, and scanning the same serial again is refused because it's already used.
Boxes
A barcode can be marked as a box of several units. You set the size in the Box size field of the unknown-barcode sheet, or the FDA database fills it in. To change it later, use
Where: Settings › Backfill barcodes
(see Backfill barcodes). Pick a product and use Box sizes. Your role needs to manage products.Where: Settings › Scanning › Box barcodes
Boxes
A barcode can be marked as a box of several units (in the unknown-barcode sheet, under Settings → Barcodes, or from FDA data). The site setting decides what a box scan means:
- Add each unit (default) — scanning a box of 5 in adds 5 items with the same lot and expiry; Undo removes all 5. Scanning it out uses 1 item from the box.
- Add the box — the box is one stock item; one scan adds or uses one.
In the cart a box row shows "box of 5" and counts in units. A box's serial number isn't copied onto its units.
