Recalls

Road2IR Inventory checks the lots on your shelves against published device recalls, so that a recalled lot doesn't get used by accident. It flags a match, warns people who handle that lot, and keeps a record of how your team dealt with it.

Who can: Owner, Admin, Member, Inventory manager, Purchaser, Compliance see recall matches. Only roles that manage inventory can confirm or dismiss them.

How recalls are found

The app collects device recalls from openFDA (the US FDA) and Health Canada, refreshing about once a day unless your host changed the schedule. Recalls marked terminated or completed are ignored.

A recall lists the lot codes it covers. A lot on your shelf matches when its code appears in that list, ignoring capital letters. Codes shorter than three characters are never matched. Only units still on the shelf that have a lot code are checked, so stock added by hand isn't. Matching runs after each refresh and when you add stock with lot codes. Roles that manage inventory can also press Check for recalls now on the recalls page.

Where matches show

Where: Settings › Recalls

  • The page lists every match under Needs review, Confirmed and Dismissed, with the product, lot, expiry, classification, source (linked to the notice), reason, and who reviewed it.
  • A red banner across the top of every page at the site counts the matches still waiting for review, with a Review link. The number drops as matches are confirmed or dismissed. Only roles that manage inventory see the banner.
  • On the product page, a badge such as 1 lot recalled appears by the stock count, and on a phone or tablet the lot card is marked Recalled — do not use.
  • The matched units are marked do-not-use until the match is dismissed. A match that needs review or is confirmed counts, and a dismissed one doesn't.

Confirm or dismiss

Who can: Owner, Admin, Member, Inventory manager

Review each match under Needs review:

  • Confirm acknowledges it: yes, this is the recalled product. The lot stays marked do-not-use.
  • Dismiss clears it, for example because the recall doesn't cover your product. You can add a note (up to 500 characters) saying why.

Both choices are final. A dismissed match can't be confirmed later, and a confirmed one can't be dismissed. The name of the person who decided and the time are recorded. Neither choice takes stock off the shelf. Remove the units yourself from the product page. Recalled units ask you to confirm before they are removed.

Warnings when scanning

When someone scans a barcode, the scanner checks it against open recalls, and stops to ask before counting it:

  • Recalled lot appears when the lot is in an open recall. The choices are Don't add or Don't use (the safe choice, and already selected), and Add anyway or Use anyway.
  • Product has an open recall — check the lot appears when the product's REF or barcode is in a recall but the lot isn't. Choose Continue after checking the lot against the notice, or Cancel.

The sheet shows the source, the classification when the notice has one, the reason and a Recall notice link. If the phone is offline or the check is slow, the scan goes through without it. During an audit, a recalled lot is flagged after it is counted, with a message to set it aside.

Recall alerts

A new match sends an in-app alert, and an email to roles that manage inventory unless the person changed that. Each person sets their channels (see Alerts and notifications), and can turn on a Weekly recall summary email, under Notifications on their profile page.

Who can: Owner, Admin, Site settings turn the Recalls alert on or off for the site.
